Data Controller. NexovanceSystems, located at Calle San Robustiano 8 B, Madrid, Spain, is the data controller responsible for the processing of personal data collected through this website.
Data We Collect. When you submit a contact form, we collect your name, email address, and the content of your message. We do not collect special category data, financial information, or data from minors under 16 years of age.
Purpose and Legal Basis. Your personal data is processed solely to respond to your inquiry and provide the services you request. The legal basis for processing is Article 6(1)(b) of the EU General Data Protection Regulation (GDPR) — performance of a contract or pre-contractual measures taken at your request.
Data Retention. Contact form submissions are retained for a maximum of 12 months from the date of submission, unless an ongoing business relationship is established. After this period, personal data is securely deleted or anonymized.
Third-Party Sharing. We do not sell, trade, or share your personal data with third parties except where required by law or where a service provider acts as a data processor under a written agreement (e.g., email hosting, payment processing via Stripe).
Your Rights. Under the GDPR, you have the right to access, rectify, erase, restrict processing, object to processing, and port your personal data. You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD) at www.aepd.es.
Exercising Your Rights. To exercise any of these rights, contact us at [email protected] or write to Calle San Robustiano 8 B, Madrid, Spain. We will respond to your request within 30 days.
Refund Policy
Service-Based Work. NexovanceSystems provides digital services including web development, localization, design, and consulting. As all work is performed to order and customized to each client's specifications, refunds are evaluated on a case-by-case basis.
Cancellation Before Work Begins. If you cancel a project before any work has commenced, you are entitled to a full refund of any advance payment within 14 business days.
Cancellation During Development. If work has already begun, a partial refund may be issued based on the percentage of work completed at the time of cancellation. Milestone-based billing ensures transparency — you only pay for completed milestones.
Completed Work. Once a milestone or project phase has been delivered and accepted, no refund is available for that phase. All deliverables and intellectual property are transferred upon final payment.
Dispute Resolution. If you are dissatisfied with any deliverable, contact [email protected] within 14 days of delivery. We will review the issue and, where reasonable, offer revisions at no additional cost.
Payment Processing. Refunds are processed via the original payment method within 10–14 business days. Transaction fees charged by third-party payment processors (e.g., Stripe) are non-refundable.
